1. Home Study Assignments
Students are asked to complete any home study assignments to the very best of their ability and by the agreed time. If problems arise with any home study, please contact the Tutorial Centre by telephone or email (Office Hours are 9.30 a.m. – 3.00 p.m. Monday to Friday).
2. Tuition Fees
a) Rates for tuition fees in standard groups are currently £27.25 plus VAT per session per student, in a standard group of 4–8 students, with a maximum of 8 students for in-person sessions and a maximum of 15 students for Zoom sessions. All students will be entered into standard groups unless parents have been notified in advance of an alternative arrangement, so that all clients have clarity about the applicable tariff.
b) For smaller groups, the current rates are £35.29 plus VAT per session per student in a group of 3, and £41.68 plus VAT per session per student in a group of 2. One-to-one tuition is charged at £64.10 plus VAT per 45-minute session, and is available by special arrangement only and usually on a short-term basis.
c) For the purposes of these Terms, a “session” means a scheduled 45-minute tutorial delivered either at the Centre or via Zoom. All sessions are 45 minutes in duration unless otherwise agreed in writing.
d) Fees are reviewed annually on 1 November, and the Centre reserves the right to determine group size. Fees are payable in advance and are non-refundable in the event of absence, cancellation or non-attendance by the student.
e) Staunton Tutorial Centre Ltd — VAT number pending.
f) Tuition is offered in a minimum of 4 sessions.
g) Cheques or cash payments are not accepted. Payment must be made by BACS or PayPal (debit/credit card). PayPal payments incur a £3.00 surcharge for each payment.
h) Staunton Tutorial Centre does not accept payment by childcare vouchers, employer schemes or Tax-Free Childcare.
i) The Centre reserves the right to charge interest on any unpaid invoices at the rate of 6% per annum above the Bank of England base rate, accruing daily until payment is received in full. The Centre also reserves the right to recover from the client any reasonable legal or recovery costs incurred in pursuing unpaid fees. An administration fee may be charged for late payments, as specified on the invoice. Payment terms are strictly 14 days from the date of invoice. Where invoices remain unpaid after the due date, the Centre may suspend tuition or withhold access to sessions until all outstanding sums have been settled in full.
3. Cancellation
Tutorials are offered as a pre-paid course and refunds are not given in the event of non-attendance. However, we are happy to re-arrange a tutorial missed through illness or for other reasons, but these must usually be re-arranged within the same week as the tutorial missed. If a child is ill then an online Zoom alternative is generally offered.
To re-arrange a tutorial session, please give at least 24 hours’ notice. Should less than 24 hours’ notice or no notice be given, the session is charged at the full rate and may not be able to be re-arranged. If a tutorial is cancelled with 24 hours’ notice or more and cannot be re-arranged within the same week, then a Zoom recording is usually issued via email.
We will make every effort possible to re-arrange a tutorial in the event of a planned absence. In exceptional circumstances where we need to cancel a session, as much notice as possible will be given and naturally no fee is charged. Fees already paid are refunded as a credit to the next invoice. If parents cancel their child’s attendance due to adverse weather conditions, snow, ice, flooding, car or traffic problems or any other factor beyond our control, fees remain payable, but a Zoom recording may be issued.
4. Punctuality & Arrival
The tutorial session begins from the appointed time, even when arrival is late. Therefore, students who arrive late should depart at the normal scheduled time. Punctuality is essential. Late departure may, after warnings, incur charges.
Please wait with your child until the session commences at the time agreed. Staunton Tutorial Centre assumes no legal responsibility for the child/children until the tutor has commenced the session.
It is the responsibility of parents/carers to ensure that their child is safe in the car park and outside the building. No parents or children may enter other buildings on the site unattended during the school day due to the site security policy. This means that children arriving for the 3.45 p.m. session must wait outside with their parents.
Please also note that the site’s play equipment may only be used by children authorised by its operator due to insurance restrictions.
5. Holidays
The Tutorial Centre usually follows the Nottinghamshire LA holiday schedule; however, sometimes the Centre takes different holiday periods than state schools. Forthcoming holidays are clearly indicated on invoices and in updates so parents know what to expect.
Fees are always payable during the set Tutorial term times, in line with other Tutorial Centres. Parents will still have to pay if holidaying in Tutorial term time (however Zoom attendance or a Zoom recording can be arranged).
6. Contact Details
Please ensure that we have up-to-date contact details, especially phone numbers for use in case of an emergency. If you are moving house or change your mobile phone number please call the office and let us know as soon as possible, so that we can update our records.
7. Naming
Please make sure that all your child’s belongings are named, including: footwear, jackets, clothing, drink bottles, files, books and bags. We recommend the supplier ‘Easy2Name’. Contact details: www.easy2name.com
8. Disclaimer regarding Tutorials
Whilst every effort is made to ensure student success in exams, Staunton Tutorial Centre Ltd and/or its employees can take no liability for student underperformance in public tests. Staunton Tutorial Centre Ltd is responsible for ensuring effective teaching and learning within tutorial sessions; furthermore, it will provide accurate feedback based on timed assessments for parents. However, it is the students themselves who are responsible for ensuring that they apply the strategies and specific knowledge correctly in public examinations.
9. Zoom
Tutors reserve the right to offer lessons via Zoom if unable to attend face-to-face, due to unforeseen circumstances. Staunton Tutorial Centre Ltd reserves the right to record all Zoom tutorials for quality improvement purposes or to securely make a recording available to a registered attendee who was absent due to illness, etc. All recordings are deleted after 14 days from the secure ‘Zoom Cloud’ and are not published in the public domain. Parents agree not to share, record or save any Zoom recordings.
10. Rights Disclaimer regarding GL Assessment
For rights reasons Staunton Tutorial Centre Ltd points out that it has no connection with GL Assessment Ltd. Parents choose to use GL Assessment papers voluntarily and always of their own volition because they are available openly online and via public retail outlets. Parents opt for GL Assessment papers for their children because they are recommended by ‘The Lincolnshire Grammar Schools Consortium’ and by local Grammar School admissions pages.
11. Ending Tuition
Four sessions’ notice to quit tuition is required in writing, unless a specific exam date has been given in advance. This enables time to draw tuition to a suitable conclusion and allows for consolidation. Failure to give notice results in charges being applied during the specified notice period.
12–16. Illness Policy
Staunton Tutorial Centre Ltd is committed to providing a safe, healthy, and productive learning environment for all students and staff. To protect the health and wellbeing of everyone in our Tutorial Centre, the following policy will apply:
Illness Exclusion Periods
– Students must not attend in-person tuition sessions if they have experienced any of the following symptoms within the last 48 hours:
i. Vomiting
ii. Diarrhoea
iii. Fever (temperature of 37.8°C or higher)
iv. Any other symptoms of contagious illnesses (e.g., COVID-19, persistent cough, flu-like symptoms, rash, etc.).
– Children who have been off school due to illness should not attend tuition sessions until they have been symptom-free for at least 48 hours or have received clearance from a medical professional.
Remote Learning Option
– Live Zoom access: Parents may request a link for their child to attend their session live via Zoom.
– Session recordings: Parents can request access to a Zoom recording of the session to allow their child to review the content at a convenient time.
These options are available at no additional cost and provide continuity of learning while prioritising the child’s need for rest and recovery.
Parental Responsibility
Parents are responsible for ensuring their child does not attend the Centre if they exhibit any symptoms of illness as described above. Sending a sick child to group tuition risks spreading illness to other students and staff, which is unacceptable and contrary to our commitment to health and safety.
Centre Rights
Staunton Tutorial Centre Ltd reserves the right to send any student home if they arrive at the Centre exhibiting symptoms of illness. Parents will be contacted immediately to collect their child if they are deemed unwell during a session.
We appreciate your cooperation in adhering to this illness policy, which is aligned with health protection guidance for schools and educational settings. Together, we can maintain a safe and effective learning environment for all.
